Quotation Comparison Tool — L1 per Line and Landed Cost

Compare up to five vendors, see L1 on each line, and export a comparative statement.

The figures already filled in are an example (10 tonnes of MS angle). GST at 18% is whatever those quotes said, not a rate for every item. Edit every cell.

What the tool ranks

Each line’s rank amount is quantity × rate, plus that vendor’s freight spread in proportion to the line’s basic value. GST is added only if you mark GST as a cost. Leave it out when you can take input tax credit and every vendor charges tax you can claim. L1 on a line is the lowest rank amount among vendors who quoted that line. A blank rate means no quote.

Overall L1 is the lowest effective total among vendors who quoted every line. Effective total = rank total − rank total × your cost of funds × extra payment days ÷ 365. Extra days are measured against the shortest payment term in that group. A vendor who skipped a line is not in the overall rank.

In the sample, Ahmedabad’s rate is the lowest and Nashik’s landed cost before credit is the lowest. Pune includes freight and gives 30 extra days. At a 12% cost of funds that credit is worth about ₹6,115, and Pune becomes the overall L1. Change the 12% and the rank can move. Twelve percent is the sample’s cost of funds, not a rate anyone else should use.

The same layout, with formulas, is the comparative statement of quotations When you want vendors to bid again instead of accepting the first quote, use a live reverse auction.

FAQs

Does the lowest rate win?

Not on this sheet. L1 on a line is the lowest rank amount after freight, and after GST if you said GST is a cost. The overall L1 also adjusts for payment days using the cost of funds you type. A vendor who does not quote every line is left out of the overall rank.

Should I include GST?

Include it when you cannot claim the input tax credit. Leave it out when every vendor’s GST is recoverable. Mixing a GST-inclusive price with a GST-exclusive price will pick the wrong L1.

What does the Excel file contain?

A comparative statement with formulas: amount = quantity × rate, freight shared by line value, GST, and a rank amount that follows the YES/NO switch for GST. Open it in Excel and it will calculate. It is not a sign-up and it is not a purchase order.
